We bring in new board members, and exit the former members, every few years and there is always a discussion around how they should be recorded in our HRIS system. Historically we put them in an active status and relationship when they come onboard, input their PII in GHR (DoB, gender, SSN, etc.), and then exclude them from any employee reporting to insure we're not treating them as employees. I'm being asked if we can skip putting them in the GHR system at all, but my payroll team let me know they must exist in the system in order to receive their monthly stipend. We also offer them benefits and we send a flat file twice a week to our vendor so I believe we need to input all of their PII since that data is requested on the medical file and a few of them do utilize the benefits.
How does everyone else handle board members? Do you input the same amount of data for a board member you would for a regular employee? Do you exclude them from your system and manage any stipends/benefits separate from your usual process?
