Asset Management License Requirements

Hello,

I am looking for find information on when a user would require an Asset Management License that also has:

Work Management
Customer Service
CDR

We have some users that have Work Management, Customer Service or CDR but do not have Asset Management, which was all setup before my time with the application. I am having a hard time finding documentation on why this is the case - when is the combo needed and when isn't it necessary?

Hi Najin,

I am not 100% sure, but I believe that the user would need licensing for the specific asset (Asset Building, Asset Water, Asset Parks, etc.) if they are editing the asset directly or using the Asset Inspection module. Do you all assign an asset on your work orders and service requests? The work order and service request will store a history on those assets but won't make any changes to the asset unless you have workflows setup to apply changes. For example, we have a workflow on a work order that will update the pipe type for a water service line.

Again, I could be wrong, about the specifics, but this is what I believe to be true. And don't get me started on assigning access roles!

Najin, Nick is correct. You will need an asset license if the user will update the asset, directly or through workflow. For many agencies the field staff do not make updates directly to assets as that is handled by an asset management team. In this case there is no need to assign them a license.

Some cases where they would need an asset license even if not editing an asset directly:

A Workflow updates the asset based on work order information
Performance Indicators are recorded on the work order, which will then be pushed to the asset
Usage is recorded on a work order, either for the work order asset or using vehicle/equipment costing
Asset Indexes are calculated based on the work order information
