Would anyone mind sharing your Lawson down time process that is related to managing end users placing orders all the way through processing the PO and contacting vendors? We are looking to establish best practice. Thanks in advance for your help. Damian

We have a network drive set up that everyone has access to. Inside this network drive each buyer has their own folder. Inside the folder is a list of their manual PO numbers, a PO work sheet, a manual requisition request form, a spread sheet for our prime vendor in the format they want, which is faxed to them. Inside this folder is also the vendor file that gets backed up daily, and an open PO line report for receiving which gets backed up every hour. If a buyer needs to create a PO during the downtime, they go out and update the receiving spread sheet. The receiving dock logs receipts on the spread sheet so it can be uploaded into Infor when the system is back on line. We use handhelds, so also in the folder is a list of all the pars for each handheld as well as a listing of what is on each par. I hope this helps

We have a section of the Storage area network (SAN) where we store all of the files needed for downtime. We have these automated jobs that run daily to create our downtime files:
PO234 listing of req lines waiting to be processed in PO23
PO213 listing of PO13 vend item records
PO210 listing of vendor contact info
PO log forms with manual PO numbers
Paper requisition forms to distribute to the rqc users
Open PO report (custom query) so receivers can deliver goods
PO215 template report (to use as order forms)
IC211 item catalog
IC281 Par counting manual worksheet
That gives each area the bare minimum data needed to do their job

We put our files on an encrypted USB flash drive so we can access in case of network outage.
