Identifying Sub Items

Hi,

Has anyone developed a good process for identifying sub items? We are trying to develop a quality process that can help our supply chain group identify sub item orders to create Lawson numbers. Currently, the only way we can really identify sub items is if the end user happens to remember to email us or submit a ticket within our SharePoint process.

We are hoping there is a better way to utilize Lawson to help us with identifying sub items. We tried using a PO Code of SUB for awhile, but it proved not be very helpful and have since stopped using that code. Let me know if anyone needs further clarification on what we are looking for.

Not a "good" process - but ...

On PO20 in the Line Detail there is a Misc Tab with a User Analysis field. That's where the buyers put in sub, one-time, Lawson.

We run a po line dump quarterly so they can see them. If it's labeled sub or Lawson and has multiple occurances, the buyers start the process to add them to the item master.

We have the buyers type the description as "Sub for Lawson Item XXXXX" so we can pull it using a POLINE dump. We are starting to use the IC13 to list approved subs for an item and are developing a report that will pull the user fields for the substitute item showing who approved it as a sub and when.

Thanks for the response! How are your buyers being notified when an item is a sub? Is there something within the requisition that the end user uses to notify your buyers? Or, is there a process outside of Lawson/RQC that is used?

We are looking into using the IC13 sub item functionality as well, but we're struggling with figuring out good ways to identify subs. Makes sense what you're buyers are doing and seems similar in though to what KatVila's buyers are doing. I'll ask the same question to you as I did to KatVila, how are your buyers being notified of sub items?

The users rarely know it is a sub with our process. At point of order, if item is backordered and vendor recommends a sub, the buyer confirms with the user that the sub is acceptable. Cardinal (our med surg) keeps a list of approved subs they work out with Contracts - so from them the buyers will get a sub that needs no approval or a recommendation that they need to go work.

If it is accepted by the user, the buyer attaches email strings as approval to add the line and cancel original.

We're JIT so the end all, be all for us is to place the order. We came across the User Analysis field as a way to go back and look without delaying the order at the moment. We didn't like changing the descriptions because if we do need to convert these into item master items, we want a valid description to work with.

We just eliminated the last of the powdered gloves in the system - and while it was happening, the buyers likely knew better than I which items were subs for which.

Ours is laso outside of Lawson. Supplier notifies buyer of a sub. Buyer confirms sub is acceptable with Sourcing and end user. If approved by Sourcing to be built, item is added to IC11 and IC13. If not approved to be built but approved to sub, the item is ordered as an X item with the "Sub for xxxx" description.
