Requester permissions

Does anyone else allow their requesters to view screens like PO54/RQ44/etc.? Or do you use a dashboard/some other type of method to give a requester updates on the PO status?

Hey,

We allow our requesters access to both PO54 and RQ44. It's much easier and more efficient for us to grant them access to those forms rather than trying to maintain a dashboard with that information.

I should clarify though, we only grant access to supply liaisons in our inpatient and procedural areas. Any nursing staff who have access to RQC do not have access to PO54 or RQ44.

We enhanced the RQC Inquiry displays to include more Purchase Order information, including the search options and the status of the PO (order through received). For more information, the users are asked to contact our Purchasing department.

Added PO header information such as totals, vendor, etc. Have three sets of search criteria. Plus range search boxes.

We make a number of screens and reports available to requesters on our RQC dashboard. Here's a screen shot.

Wow, that's a lot of access for a requester. How many requesters do you have in your company?

We have 1000 requesters that have the same access Jon A describes. The purpose of the ERP is to get the information into the hands of the people that manage the budgets. They should be able to review what has been ordered and who is ordering. We also give them access to the RQC Status and Line Status.

Th dashboard modules and reportsare locked down by security groups, so requesters don't have everything on the dashboard. I'm sure Jon must have Admin rights to see everything.

One report that I like is the PO58 Receipt Inquiry screen which let's them see what was actually received.

Agreed. Lawson is an information system. Let the end users access that information if it helps them do their job. Teach them and empower them so they're not calling you for information.

Correct, I see everything. But the requesters see most of this screen. Just the VAT Reports, Other Reports and some of the GL report screens are unavailable to them. For us the dashboards are the only way the end users can get to any of the screens. Unless you're a primary Lawson user, meaning Lawson is crucial to your job - Purchasing, Receiving, Supply Distribution, Accountant, AP Clerk, Benefits Admin, etc., you don't get the search box in the upper right.

Doesn't opening all those screens up affect your user licenses though?

I don't think Infor tracks licenses for simple screen access by basic end users. They're more interested in the number of RQC, MSS, ESS (LTM) and power users.

Some of the users have a security role that allows rights to the inquiry screens. Most just use the Status (not Inquiry) from the Requisition Center menu. (Should be available with 9 and higher) - it's an RQ44+ type of screen. They can see their PO lines, receipts and invoices.

We're also looking at AVAAP's Req Dashboard.

I really like Jon A's dashboard - but for the original question - RQC has Status (not the Inquire found in the shopping link) which is "RQ44 on steroids" - you can change requester, req loc, date range, etc and then clearly shows PO numbers line by line.

Receipts are still a drill around which is why we are looking at AVAAP's req dashboard, but have had some issues getting the functionality to crosswalk.
