Reaching out to see what other facilities are doing to set up and track trial items.  We're currently trying to shore up this process and would like to see what others are doing. 

 

Do you create Lawson #'s? 

How do you track them?

How do identify them in Lawson ?  User fields or some other way?

What's the process from converting them from a trial item?

We use a ticketing system to track all items going into our item master so we use it for trials as well.



The trial items are set with a manual numbering system of TRIAL00001, TRIAL00002, etc and are on a PO25 that is named TRIAL [TICKET#] with the expiration date set to whatever the VAT decides. The ticket number used to add the item is in an attribute field and that ticket is where all the various attachments and notes are kept.



The rest of the item is set up "true" but is not assigned an EAP in Epic - they must flex code it for the duration of the trial. This is to incentivize them to tell the trial outcome.



If the item is rejected, we simply inactivate PO13.3 and IC11.



If it is approved, we use FC R(replace) on PO13.3 to APPROVED[PART#] and delete the correct part number. Then reupload the item with our normal item numbering and put it on a price file reflecting correct contract, etc.



Either approved or rejected, all lines on the Trial PO25 are put on hold and the header is closed.
