Item Master Maintenance
Legacy Contributor
Hi Group - I wanted to ask the group a question re: the maintenance of your item master data. We currently subscribe to GHX NuVia, but have had issues with receiving incorrect/insufficient data from them. Are others using a different vendor? Are you managing manually, if so, what's the process in obtaining this data?
Thanks in advance.

Our item master data is managed in house by our contract management team. Either the data is received through our GPO or direct from the manufacturer for local agreements.

Same here, we get a feed from Premier and the rest are local agreements.

Hi,
We currently use NuVia as well and have some success but have also had a few headaches as well. What we have found out is that NuVia's product information is based off of the vendor/manufacturer product catalogs. So the item numbers may include dashes, periods or other special characters. The issue we have run into is we also use GHX MyExchange for processing PO's. The MyExchange information focuses more on the "EDI friendly" version so many times what they have are the stript down or clean version of the numbers (so dashes, periods etc are removed).
We have run into instances where we get an exception from GHX one day, then get an update form NuVia that contradict each other.
NuVia has been great for HCPCS and UNSPSC code identification as well noun type identification. There have been a few hiccups but they are great to work with us on defining their process for establishing noun types, or HCPCS/UNSPSC codes.
Hope this helps, feel free to reach out to me directly if you have any specific questions. John

Hi John - If you wouldn't mind sending an introductory email to beth.rupp@uchealth.com, I'd appreciate it. We struggle with description cleansing & would like to learn more about NuVia & how it is helpful or not helpful. We are new to GHX & have not purchased NuVia but we are interested in hearing more. We are on Lawson 9, upgrading to 10 by year's end, & Novation is our primary GPO.
To the Group - what method do you use to trim your descriptions down to 30 characters?

We have been using DataLynx the past few years to help manage our item master. We do NOT put it in automatically and find lots of incorrect information as well - manufacturer info, part numbers, UNSPSC. We spend a lot of time on the manufacturer's web sites and our contract analysts gather information from VHA Contract Center.
We did find out that our Purchasing Director purchased NuVia recently. My manager would be interested in sharing 'war' stories with NuVia and Data Lynx. If you would be willing to talk, please let me know: Pamela.cesarz@froedtert.com.

Jon and vMcNamar-Does your team then use the GPO or mfg contract data to identify the desc format for your system (ie. noun, type, brandname, sterile/nonsterile, latex/latexfree, etc.). And do you have a standard attribute layout for how the desc are ordered?
John-I would agree with your review of GHX. We run across the same issues with NuVia and MyExchange discrepancies. And yes, GHX is good for HCPCS and UNSPSC, but has their drawbacks on other things too.
Barupp-GHX NuVia does have the capability to trim your desc length anywhere from 0-200 characters.

This is a document I created quite a while ago as a guide to building item descriptions.

Here is ours from way back, it has been revised a few times.
